Privacy policy

This Policy explains what personal data Ritual Prim collects through the ritualprim.md website, by phone and via messaging apps, why it is needed, who it is shared with, how long it is kept and what rights you have. We understand that people come to us at a very difficult time, and we collect only what we cannot help you without.

Who processes your data

For questions about your data: [email protected], telephone 14000 (24 hours a day). The law does not require us to appoint a data protection officer (DPO); questions about data are handled by the company's management through these contacts.

Data is processed in accordance with Law No. 195/2024 of the Republic of Moldova on personal data protection.

What data we collect

Data you give us yourself: your name, telephone number, email, town or address, your relationship to the deceased, the circumstances of your enquiry and your comments. You provide these in the enquiry or order form, by phone, via a messaging app or at our office.

Data needed to arrange a service: for funerals, cremation and repatriation the law requires documents, so we need the customer's details (name, contact details, identity document details, proof of kinship) and copies of these documents.

Data about other people: sometimes you give us the details of a relative, the recipient of an order or a contact person abroad. When you do so, please make sure that the person is aware of it or that you are entitled to act on their behalf. We use such data only to contact them about your case.

Data about the deceased: name, dates, place and circumstances of death, documents. The personal data protection law does not apply to data about deceased persons, but we treat it with the same care as data about the living: access is restricted and it is kept for the same period.

Religious and ceremonial wishes: if you choose to tell us your faith or your wishes for the ceremony, we use them only to arrange the ceremony, with your explicit consent, which you give by sharing them with us.

Technical data: IP address, type of device and browser, the page you came from and advertising tags in the web address (utm, gclid). The tags are saved together with your enquiry so that we can see which advertising brings in enquiries. Cookies are described in the Cookie Policy.

Only your name and telephone number are required: without them we cannot contact you. Without documents we cannot arrange the service, because the law requires them. Everything else is optional.

Why we process data and on what legal basis

• Replying to your enquiry, preparing a quote, arranging the service, delivering an order: steps taken at your request before entering into a contract, and performance of the contract (Art. 6(1)(b)).
• Preparing documents with public authorities, transport and repatriation, accounting: compliance with obligations imposed on us by law (Art. 6(1)(c)).
• Protecting the website against spam and attacks, keeping records of enquiries, improving the work of our funeral directors, assessing which advertising brings in enquiries: our legitimate interest in running our work safely and clearly (Art. 6(1)(f)). You have the right to object to this processing.
• Website visit statistics: your consent to analytics cookies (Art. 6(1)(a)).
• Measuring the effectiveness of Google Ads advertising: your consent to advertising cookies (Art. 6(1)(a)).
• Email reminders of memorial dates: your consent, which you give by ticking a separate box in the form (Art. 6(1)(a)).

You can withdraw your consent at any time, as easily as you gave it: for cookies, in "Cookie settings" at the bottom of the website; for reminders, by replying to the email or by writing to [email protected]. Withdrawal does not affect processing carried out before it.

We do not take decisions based solely on automated processing that have legal effects for you. Enquiries are checked automatically for signs of spam, but the final decision on each one is made by a member of staff.

Who we share data with

We do not sell data and do not share it for other companies' advertising. Access is given only to those who take part in providing the service or who keep the website running:

• Ritual Prim staff: the funeral director on duty and the staff who handle your case. Only the subject of the enquiry and your name are posted in our internal staff chat; the details are seen by the funeral director who takes the enquiry on.
• Public authorities and institutions: the Public Services Agency (ASP), medical institutions, the police, sanitary and border services, consulates and embassies, to the extent required by law for the paperwork.
• Service partners: carriers, airlines, funeral services abroad, crematoria and cemeteries, to the extent needed to fulfil the order.
• Suppliers that process data on our behalf (processors):
  • hosting providers in Germany (EU): the website server, database and backups;
  • an email service in Switzerland: email;
  • Cloudflare, Inc., USA: protecting the website against attacks, delivering pages, Turnstile checks;
  • Google Ireland Ltd. and Google LLC: Google Analytics and Google Ads with your consent, Google Maps address suggestions in the form. For some advertising measurement, Google may act as an independent controller under its own rules (policies.google.com/privacy);
  • Telegram: internal notifications to staff about new enquiries and tasks.

Our suppliers are bound by data processing terms that require them to use the data only on our instructions and to protect it.

Transfers outside Moldova

The website server and backups are located in Germany, in the European Economic Area (EEA); under the law, such a transfer does not require additional safeguards. Switzerland, where our email service operates, is on the list of states with an adequate level of data protection approved by Decision No. 41 of the National Centre of 20.08.2026. Cloudflare and Google (including in the USA) and Telegram may process data in states that are not on this list. Such transfers rely on standard contractual clauses (Art. 46 of Law No. 195/2024): the Standard Contract approved by Order No. 31 of the Centre of 31.07.2026 reproduces the European Commission standard contractual clauses 2021/914, under which these suppliers operate. In repatriation cases, data is transferred to the country where the death occurred, to the country of destination and to transit countries, only to the extent needed to arrange the transport. Such a transfer is necessary for the performance of the contract you have concluded with us.

How long data is kept

• Enquiries that did not lead to a service: 12 months from the last change.
• Enquiries identified as spam: 30 days.
• Orders, contracts, invoices and documents relating to a service provided: 6 years, counted from 1 January of the year following the year in which the service was provided (the retention period for primary documents set by the standard documents retention schedule, Order of the State Archive Service No. 57/2016). If there is a dispute over an order, until the dispute is resolved.
• Email address for reminders: until you opt out of them.
• Your choice in the cookie settings: 1 year. Google Analytics statistics: no more than 14 months.
• Log of staff actions in the system: 12 months. Technical server logs: up to 90 days.

When the period expires, the data is deleted or anonymised.

Your rights

You have the right to:

• find out whether we process your data and obtain a copy of it (right of access);
• have inaccurate data corrected and incomplete data completed (right to rectification);
• ask us to delete your data if it is no longer needed or is processed without a legal basis (right to erasure);
• restrict processing while we check your request (right to restriction of processing);
• receive the data you have given us in a machine-readable format or ask us to transfer it to another controller (right to data portability);
• object to processing based on legitimate interest (right to object);
• withdraw your consent at any time.

We will reply free of charge within one month; if the request is complex, this period may be extended by a further two months, and we will let you know within the first month. So as not to disclose data to a third party, we may ask you to confirm your identity.

We would be grateful if you wrote to us first: most questions can be resolved more quickly that way.

Cookies

Necessary cookies keep the website and its forms working. Google analytics and advertising cookies are set only after you give your consent in the banner; until then, Google scripts are not loaded on the website. The full list, retention periods and how to refuse are set out in the Cookie Policy, and you can change your choice at any time using the "Cookie settings" link at the bottom of the website.

Children

The website is intended for adults. We do not knowingly collect data from children under the age of 14. If a child has sent us their data, a parent can ask us to delete it.

Security

Access to data is given only to staff who need it for their work, each under their own account with rights according to their role; administrator logins are protected by a second factor. Connections to the website are encrypted, copies of documents are stored on a private disk and opened by staff through links valid for 15 minutes, backups are stored separately, and software is kept up to date. If a data breach threatens your rights, we will notify the National Centre within 72 hours and you without undue delay.

Changes

The current version is always published on this page. When we make significant changes, we update the date at the bottom. This Policy is published in Romanian, Russian and English; in the event of any discrepancy, the Romanian version prevails.
