Privacy policy

This Privacy Policy explains what personal data Ritual Prim collects through the ritualprim.md website, by phone and through messaging apps, why we need it, who we share it with, how long we keep it and what your rights are. We know that people contact us at a very difficult time, so we collect only the information we need in order to help you.

Who is responsible for your data

The controller of your personal data is Service S.D.S. SRL (trading as Ritual Prim), IDNO 1017600045417, registered office: Office 9, 77/A Alexei Mateevici Street, Stăuceni, Chișinău MD-4839. Our office is at 77A Alexei Mateevici Street, Stăuceni, Chișinău.

If you have any questions about your data, contact us at contact@ritualprim.md or call 14000 (24 hours a day). We are not required by law to appoint a data protection officer (DPO); questions about personal data are dealt with by the company's management through these contact details.

We process personal data in accordance with Law No. 195/2024 of the Republic of Moldova on personal data protection.

What personal data we collect

Information you give us: your name, phone number, email address, town or address, your relationship to the deceased, the circumstances of your enquiry and any comments you add. You give us this information in the enquiry or order form, by phone, through a messaging app or at our office.

Information needed to arrange a service: the law requires documents for funerals, cremation and repatriation, so we need the client's details (name, contact details, identity document details, proof of family relationship) and copies of those documents.

Information about other people: sometimes you give us the details of a relative, the recipient of an order or a contact person abroad. By doing so, you confirm that the person knows about it or that you are entitled to act on their behalf. We use this information only to communicate about your case.

Information about the deceased: name, dates, place and circumstances of death, and documents. The personal data protection law does not apply to information about people who have died, but we treat it with the same care as information about the living: access to it is restricted and it is kept for the same periods.

Religious and ceremonial wishes: if you choose to tell us your religion or your wishes for the ceremony, we use this information only to arrange the ceremony, on the basis of your explicit consent, which you give by sharing it with us.

Technical data: your IP address (stored with your enquiry only as an irreversible hash, from which the address itself cannot be recovered); the country identified from your IP address by our website security provider (we use it to show you a phone number you can reach us on from abroad); your device and browser type; the page you came from; and advertising parameters in the web address (utm, gclid, wbraid, gbraid). These parameters are saved with your enquiry so that we can see which advertising leads to enquiries. Cookies and browser storage are described in our Cookie Policy.

Only your name and phone number are required: without them we cannot contact you. We cannot arrange a service without the documents, because the law requires them. Everything else is optional.

Why we use your data and our lawful basis

• Replying to your enquiry, preparing a quote, arranging the service and delivering an order: taking steps at your request before entering into a contract, and performing the contract (Art. 6(1)(b)).
• Arranging documents with public authorities, transport and repatriation, and accounting: complying with legal obligations that apply to us (Art. 6(1)(c)).
• Protecting the website against spam and attacks, keeping records of enquiries, improving the work of our funeral directors and understanding which advertising brings in enquiries: our legitimate interests in running our business securely and in a well-organised way (Art. 6(1)(f)). You have the right to object to this processing.
• Website visit statistics and recording enquiries and orders in Google Analytics: your consent to analytics cookies (Art. 6(1)(a)). If you give this consent, our server tells Google Analytics that an enquiry or order has been submitted, sending the type of service, the estimated value of the enquiry, your country and device type, together with the pseudonymous identifier from the _ga cookie. Your name, phone number, email address and the text of your enquiry are not sent to Google.
• Measuring the effectiveness of Google Ads advertising: your consent to advertising cookies (Art. 6(1)(a)). Google Ads receives information about enquiries from the Google Analytics account linked to it. If you have consented only to analytics cookies, Google Ads may count an enquiry only in aggregated statistics, without advertising identifiers and without using it to personalise advertising.
• Email reminders of memorial dates: your consent, which you give by ticking a separate box in the form (Art. 6(1)(a)).

You can withdraw your consent at any time, as easily as you gave it: for cookies, through "Cookie settings" in the website footer; for reminders, by replying to a reminder email or by writing to contact@ritualprim.md. Withdrawing consent does not affect processing carried out before you withdrew it.

We do not make decisions based solely on automated processing that have legal effects for you. Enquiries are checked automatically for signs of spam, but a member of staff makes the final decision on each one.

Who we share your data with

We do not sell your data or share it for other companies' advertising. Access is given only to those involved in providing the service or in keeping the website running:

• Ritual Prim staff: the funeral director on duty and the staff handling your case. Only the subject of your enquiry and your name are posted in our internal staff chat; the details are seen by the funeral director who takes on your enquiry.
• Public authorities and institutions: the Public Services Agency (ASP), medical institutions, the police, public health and border authorities, consulates and embassies, to the extent the law requires for the paperwork.
• Service partners: transport companies, airlines, funeral service providers abroad, crematoria and cemeteries, to the extent needed to fulfil your order.
• Service providers that process data on our behalf (processors):
  • hosting providers in Germany (EU): website server, database and backups;
  • an email provider in Switzerland: email;
  • Cloudflare, Inc., USA: protecting the website against attacks, delivering web pages and running Turnstile checks;
  • Google Ireland Ltd. and Google LLC: Google Analytics and Google Ads, with your consent (the information shared is described in the section "Why we use your data and our lawful basis"), and Google Maps address suggestions in the form. For advertising measurement, Google may act as an independent controller under its own privacy policy (policies.google.com/privacy);
  • Telegram: internal notifications to staff about new enquiries and tasks. Only the subject of the enquiry and the name are posted in the internal staff chat; staff open the details in our internal app, whose data is stored on our own server.

Our service providers are bound by data processing terms that require them to use the data only on our instructions and to protect it.

Transfers outside Moldova

Our website server and backups are located in Germany, within the European Economic Area (EEA); under the law, such transfers do not require additional safeguards. Switzerland, where our email provider operates, is on the list of countries with an adequate level of data protection approved by Decision No. 41 of 20 August 2026 of the National Centre for Personal Data Protection. Cloudflare, Google (including in the USA) and Telegram may process data in countries that are not on this list. Such transfers rely on standard contractual clauses (Art. 46 of Law No. 195/2024): the Standard Contract approved by Order No. 31 of 31 July 2026 of the National Centre reproduces the European Commission's standard contractual clauses (Implementing Decision (EU) 2021/914), on which these providers operate. You can request a copy of these safeguards at contact@ritualprim.md.

In repatriation cases, data is transferred to the country where the death occurred, to the country of destination and to any transit countries, only to the extent needed to arrange the transport. These transfers are necessary for the performance of the contract you have entered into with us.

How long we keep your data

• Enquiries that did not lead to a service: 12 months from the last update.
• Enquiries identified as spam: 30 days.
• Orders, contracts, invoices and documents relating to a service provided: 6 years from 1 January of the year following the year in which the service was provided (the retention period for primary documents set by the Index of Standard Documents and Their Retention Periods, Order of the State Archive Service No. 57/2016). If there is a dispute about an order, until the dispute is concluded.
• Email address for reminders: until you opt out of them.
• Your cookie choices: 1 year. Google Analytics statistics: no more than 14 months.
• Log of staff actions in our system: 12 months. Technical server logs: up to 90 days.

At the end of these periods, the data is deleted or anonymised. Enquiries that did not lead to a service, spam, deleted records and logs are deleted automatically; documents relating to services provided are deleted or anonymised when their retention period ends.

Your rights

You have the right to:

• find out whether we process your data and get a copy of it (right of access);
• have inaccurate data corrected and incomplete data completed (right to rectification);
• ask us to erase your data if it is no longer needed or is being processed without a lawful basis (right to erasure);
• have processing restricted while we look into your request (right to restriction of processing);
• receive the data you have given us in a machine-readable format, or ask us to transfer it to another controller (right to data portability);
• object to processing based on our legitimate interests (right to object);
• withdraw your consent at any time.

To exercise your rights, contact us at contact@ritualprim.md, call 14000 or visit our office. We will respond free of charge within one month; if your request is complex, we may extend this period by a further two months, and if so we will let you know within the first month. To make sure we do not disclose your data to someone else, we may ask you to confirm your identity.

Cookies

Necessary cookies keep the website and its forms working. Google's analytics and advertising cookies are set only after you give your consent in the cookie banner; until then, Google scripts are not loaded on the website. Our Cookie Policy sets out the full list, how long each cookie is kept and how to refuse them. You can change your choice at any time using the "Cookie settings" link in the website footer.

Children

Our website is intended for adults. We do not knowingly collect data from children under the age of 14. If a child has sent us their data, a parent can ask us to delete it.

How we keep your data secure

Only staff who need access to data for their work can access it, each through their own account with permissions based on their role; administrator logins are protected by two-factor authentication. Connections to the website are encrypted; copies of documents are stored on a private disk and staff open them through links that expire after 15 minutes; backups are stored separately; and software is kept up to date. If a data breach puts your rights at risk, we will notify the National Centre within 72 hours and inform you without undue delay.

Changes to this policy

The current version is always published on this page. When we make significant changes, we update the date at the bottom of the page. This Policy is published in Romanian, Russian and English; if there is any discrepancy between the versions, the Romanian version prevails.
